1. Privacy roles

Each business normally acts as the controller of its customer, referrer, staff, branch, order, loyalty, referral, and payout records because it decides why the data is collected and how it is used.

SwiftBizness normally acts as a processor or service provider for business data. SwiftBizness may act as an independent controller for limited platform data used for account administration, security, billing, abuse prevention, analytics, support, and legal compliance.

Businesses must provide customers, staff, and referrers with appropriate privacy notices and must handle consent, opt-out, correction, deletion, and access requests where required by law.

2. Data collected

Owner and staff data may include names, emails, phone numbers, roles, branch permissions, login status, login events, work-hour rules, device signals, and audit actions.

Customer and referrer data may include names, phone numbers, optional emails, referral codes, QR events, WhatsApp journey events, order details, purchase amounts, receipts or references, loyalty points, customer status, wallet activity, payout details, notes, and duplicate review signals.

Technical and security data may include IP address, browser and device details, timestamps, rate-limit events, security events, API key usage, webhook metadata, and approximate location signals where technically available.

3. How data is used

Data is used to operate business workspaces, identify customers, prevent duplicate referrals, verify referral eligibility, track loyalty, show analytics, support staff accountability, process wallet records, and protect the platform.

Data may also be used to provide support, improve product reliability, enforce plan limits, detect abuse, investigate incidents, meet legal obligations, and maintain audit trails.

SwiftBizness does not require staff to collect unnecessary customer details for manual capture. Phone and first name are the core new-customer fields; other fields should be collected only when useful and lawful.

4. Marketing and communications

Businesses must not use customer data for spam, deceptive messages, harassment, unlawful promotions, or unauthorized marketing.

Where consent is required for WhatsApp, SMS, email, loyalty, birthday reward, or referral communication, the business must obtain and respect that consent and must honor opt-out requests.

SwiftBizness may send service messages related to account access, security, billing, integrations, referral status, wallet activity, and product operation.

5. Sharing and processors

Data may be processed through hosting, database, storage, payment, WhatsApp, messaging, analytics, logging, support, and security providers where needed to operate SwiftBizness.

Businesses that connect third-party services authorize relevant data sharing with those services and remain responsible for reviewing those providers' terms and privacy practices.

SwiftBizness does not sell customer lists. Exported data should be protected by the business and shared only with authorized people or processors.

6. Retention and deletion

Business records may be retained while the workspace is active and for a reasonable period afterward for accounting, legal, fraud prevention, security, dispute, backup, and audit purposes.

Some records, such as fraud reviews, audit logs, payout decisions, and referral qualification evidence, may need to be retained even if other profile data is corrected or deleted.

Deletion or export requests should usually be made to the business that owns the customer relationship. SwiftBizness may assist the business where legally and technically appropriate.

7. International use

SwiftBizness may be used by businesses in Nigeria, other African countries, and global markets. Different privacy, employment, tax, payment, and consumer laws may apply depending on the business location and customer location.

Where personal data is transferred across borders through infrastructure or third-party services, appropriate safeguards should be used where required by applicable law.

Businesses must not use SwiftBizness where doing so would violate local law, sanctions rules, payment regulations, or industry restrictions.
